Presenting in Zoom? Here’s a handy checklist

So, you’re going to run a Zoom session and you’re expecting a crowd? No worries! We’ve pulled together the best tips from some regular Zoom facilitators.

We’ve split it into two checklists: ‘Presenting solo’ helps you prepare if you’re presenting on your own, and ‘Presenting with a co-facilitator’ suggests how to share responsibilities between a presenter and a co-facilitator.

Presenting with a co-facilitator

Having a co-facilitator can be incredibly useful as they allow you to focus entirely on delivering a great presentation. The co-facilitator can take care of any minor technical difficulties for attendees, administration of the event (e.g. recording), and can help ensure the overall experience for attendees runs smoothly.

If you are presenting with a co-facilitator, here’s how you can break down the responsibilities between your two roles:

Presenter tasks
  1. Make sure you’re in a quiet place where there won’t be much background noise or interruptions (e.g. a ringing office phone)
  2. Click on the Zoom link 10-15 minutes before the appointed time to get set up
  3. Have a ‘clean’ desktop. Close all applications except what you’ll need e.g. presentation slides or website pages
  4. Check your audio levels and video quality
  5. Make sure you’re on full screen presentation mode and participants are seeing the correct view (your co-facilitator can help with this)
Co-facilitator tasks
  1. Optional: Organise a run-through with the presenter(s) before the event so they can get comfortable with Zoom
  2. Remind presenter to ‘share computer sound’ when screensharing if their presentation contains a video
  3. Turn off the Waiting Room at the appointed time to allow everyone in the room
  4. Ensure participants are muted on entry or if they forget to turn their mic off after speaking
  5. Assist participants/attendees with any minor technical issues (you can use the private chat in Zoom for this)
  6. Press record!
  7. Introduce the presenter(s) and the event (or the presenter can simply just get started)
  8. Keep an eye on the chat box and feed through any questions that come through to the presenter(s) as appropriate
